Terms of use — Hub24
In force from 01/07/2026
These terms govern the use of the Hub24 platform — the web application through which rental apartment hubs (and their managers) run their units, bookings, leases, payments, locks and communication with tenants, and through which owners follow their results. By using the platform or one of its public pages you accept these terms.
1. Who runs the platform
The platform is operated by:
- Name: [to be completed]
- Company ID (CUI): [to be completed]
- Trade Register number: [to be completed]
- Registered office: [to be completed]
- Email: [to be completed]
2. What the platform is and is not
The platform is software provided as a service (SaaS). The hub using it (our client) is the one letting the units, contracting with tenants and guests, collecting the rent and answering for the services offered. We provide the tool.
- We are not a real-estate agency and we are not a party to the lease or accommodation contracts between the hub (or the owner) and tenants or guests.
- We are not a payment institution: online payments go through Stripe, straight into the hub's own Stripe account; we neither receive nor hold tenants' money.
- Invoices are issued through the hub's SmartBill or FGO account, in the hub's name; tax obligations (including RO e-Factura) are the hub's.
- Figures the platform computes (payout forecasts, indicators, BNR exchange rates, consumption estimates) are working tools, not accounting statements or financial advice.
3. Who uses the platform
- Clients: hubs and their managers, through the accounts of the people they add (hub admins, operations coordinators, the field team, reporting, integration admins).
- Unit owners, who see their units' reports.
- Tenants, guests and people asking for an offer — with no account, through public pages opened from a personal link (the offer, the stay's page, the contract, the offer request page), and cleaners, through their own link.
4. Accounts, access and links
- Sign-in is by a link sent by email; whoever can read the mailbox can open the account. Keep the mailbox secure.
- The client answers for the people it gives access to and for each one's role, and removes their access when they no longer work for it.
- A public page's link (the offer, the stay, the contract, the cleaning) is its key: do not pass it on. The stay's page shows no personal data of the tenant, and the important actions (accepting an offer, signing a contract, changing the email) are confirmed with a code sent by email.
- We may suspend an account or a link that is abused or that endangers the platform's security.
5. The client's obligations
- Enters correct data and has a legal basis for every item of personal data it enters or imports (it is the controller of that data — see the Privacy notice).
- Informs its tenants, guests, owners and staff about the processing of their data (GDPR art. 13–14).
- Complies with the law on leases, including tax obligations and the registration of lease contracts with ANAF, and with the law on short-term accommodation.
- Does not use the platform for unlawful activities, does not try to get round its security and does not upload content that infringes others' rights.
6. Signing contracts electronically
Contracts sent from the platform are signed by drawing the signature with the mouse or a finger and confirming with a one-time code sent by email. The platform keeps the signed text with its fingerprint (SHA-256), the signature image, the time, the email address the code went to and the IP address. This is a simple electronic signature within Regulation (EU) No 910/2014 (eIDAS) and Romanian Law No 214/2024: it cannot be denied legal effect merely because it is electronic (eIDAS art. 25) and meets a written-form requirement where writing is needed only as proof, but it does not have the effect of a qualified electronic signature.
A lease is a consensual contract (Civil Code art. 1777 ff.), so one signed this way binds the parties; for it to be an enforceable title (Civil Code art. 1798) the hub must register it with ANAF or conclude it in authentic form. Choosing the right form for each contract is the hub's decision.
7. Payments, invoices, locks and integrations
- Online payments: Stripe processes the payment into the hub's account; card data never reaches us. Refunds, disputes and Stripe's fees are between the hub, the tenant and Stripe.
- Locks: codes are sent through the TTLock service and reach the door through its gateway. They depend on the device, its battery, the gateway and the network; the hub keeps a fallback way in.
- PMS integrations (Guesty, Hostaway) read data from the manager's account with its authorisation; their accuracy is the PMS's.
8. Data and intellectual property
- The data the client enters remains the client's. It can export it (CSV files) at any time during the contract.
- For the personal data of tenants, guests and owners we act as the client's processor, on its instructions, under GDPR art. 28; the processing terms are part of the contract with the client.
- The platform's software, design and texts belong to the operator; the client receives a non-exclusive, non-transferable right to use them for the term of the contract.
9. Availability and features in testing
We make reasonable efforts to keep the platform available and secure, but there may be interruptions for maintenance or caused by providers (hosting, database, email, Stripe, TTLock, the PMS). Features marked “Beta” are being tested and may change.
10. Liability
To the extent the law allows, we are not liable for indirect losses (lost profits, data losses caused by third parties, inability to get in caused by devices or networks), and our total liability to a client is limited to the amounts it paid for the platform in the previous 12 months. The limitation does not apply to harm caused intentionally or by gross negligence (Civil Code art. 1355) nor to the rights the law gives consumers.
11. Term, termination and deletion of data
The price, term and termination of the subscription are set in the contract with the client. On termination the client can export its data; afterwards we delete or anonymise it, keeping only what the law requires (for example accounting registers and supporting documents, 5 years — Accounting Law No 82/1991).
12. Changes, governing law, contact
- We may change these terms; we announce important changes to clients at least 30 days in advance.
- Romanian law applies. Disputes with clients are settled by the competent courts at the operator's registered office; consumers may also turn to ANPC (anpc.ro).
- Questions: [to be completed].
